BASIC FUNCTION:
The HOA Senior Accountant works closely with all the Operations Departments to insure condominium owner s satisfaction. In addition, provides sincere service through actions that display self-confidence, grace and courtesy to guests and colleagues.

ESSENTIAL FUNCTIONS:

Financial
? Work with Property's and Association accounting staff
? Ability to understand and explain financial reports and statements.
? Knowledge of related federal and state Home Owner Association laws.
? Audit monthly owner accounting records and compare to reservations report.
? Review and code all owner invoices and work orders. Write descriptive explanation if necessary. Review HOA financial statements before distributed to Board Treasurer.
? Review FF&E reserves for each Owner.
? Review Owner 1099s.
? Long and short term financial planning.
? Understanding of the Association Budgets.
? Work with financial manager to ensure that Association financial reports are properly prepared.
? Contribute to the preparation the yearly operations plan, budget, cash flow forecast and review of Reserves to present for approval to the Board.
? Ultimately responsible for accounting records.
? Review rotation and fairness in revenue production for specific unit types and address as necessary with Front Office Management.

Legal
? Maintain knowledge of relevant codes, laws and ordinances, current state condo laws, fire and health codes, and local ordinances.
? Knowledge of the State Licensing or Escrow requirements
Maintenance
? Determine (through inspections, owner communication, Guest complaints, and housekeeper reports) the maintenance needs of the unit and generate work orders as necessary.
? Notify and track repair work with in-house maintenance team
? Review and approve all work requests before billing.
? Communicate with Owner about maintenance needs or needed repairs
? Notify maintenance of emergency repairs.
? Ensure work orders are in place and proper documentation of all maintenance items occurs.
? Maintain warrantee file on each unit.
? Analyze and negotiate bids with outside vendors.
? Insure quality work before authorizing payment to vendor.
? Insure development, implementation and distribution of disaster preparedness procedures and emergency plans.
? Keep Director of Engineering aware of Association issues such as repairs, routine property maintenance, and property inspections.
Housekeeping
? Ensure generated housekeeping work orders are properly billed.
? Coordinate tracking through HotSOS of special projects such as periodic deep cleaning, inventory replacement, and refurbishment.
? Review daily housekeeping logs.
? Insure proper charges for Owner and Guest of Owner cleans.
? Document replacement of any major soft goods (Bedspread, drapes, bed-skirt, etc.) and deduct from FF&E reserve.

Report, Record and File Maintenance
? Knowledge of good record keeping procedures.
? Knowledge of what records to keep. Primary contact for the attorney on legal matters. Provide attorney with any required information needed to proceed with legal issues.
Board Relations/ Meetings
? Secondary contact with the Board of Directors and representative of Management Company for the Association
? Knowledge of the Governing Documents and obligations of the Management Agreement
? Prepare Financial agenda with input from the Board for monthly meetings
? Attend the meetings, with the objective to make sure the Association runs smoothly and in compliance with all rules and regulations as required by the Governing Documents and State regulations.

Collection Procedures
? Review and know the Associations Collection Policy
? Communicate with Owners who are in arrears as outlined in the Collection Policy. Give a courtesy call to Owners who are close to being late.
? Oversee the collections process on all accounts receivable. Apply late fees to delinquent accounts in accordance to approved collection procedure. Approve "Notice of Lien Affidavits" to be filed with County Clerk. Provide Board of Directors with recommendations (such as demand letter) on delinquent accounts. Approve "Notice of Release of Lien Affidavits when accounts paid in full.
? Work with legal counsel in Foreclosure proceedings
? Distribute Annual Coupons if applicable.
? Distribute Auto Debit forms to Owners as applicable.
? Review requests for payment plans and proceed according to Association policy or Board direction.
? Present Owner requests for waiving of interest and late fees to Board

Insurance Coverage/Settlements
? Know any legally required insurance coverage.
? Make sure Owner s and HOA have sufficient insurance coverage.
? Know requirements in the Governing Documents regarding insurance.
? Know basic insurance concepts and terms.
? Know available insurance coverage and providers in area.
? Distribute annual Insurance Disclosure to Owners
? Participate in bidding of Annual Insurance Policies.
? Submit insurance claims to carriers.
? Obtain incident reports in accordance to DH&R Policy.

Position Requirements:
2 years Property Management experience
? High school graduate or equivalent
? Associates Degree with Bachelor Degree preferred
? Professional, helpful demeanor, honest, truthful and ethical.
? Good listening skills.
? Can act calmly and professionally in stressful situations
? Ability to analyze problems.
? Well organized and detail oriented
? Ability to get along with others
? Effective written and oral communication skills
? Excellent time management skills.
